Privacy Policy

The Victoria Racing Club Ltd (VRC) has adopted this Privacy Policy to ensure that it handles private information about individuals responsibly. The Privacy Policy may be amended from time to time.

Our commitment

Victoria Racing Club (VRC) is committed to ensuring that your private information is handled responsibly.  It is important to us that you are confident that we respect your personal information and do not unlawfully interfere with your privacy when handling this information.

This policy outlines our practices in the handling of personal information.

VRC is committed to complying with the National Privacy Principles (NPPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The NPPs govern the way in which we collect, use, disclose, store, secure and dispose of personal information.

What is personal information and what information does VRC collect?

The Privacy Act defines personal information as “information or an opinion that identifies an individual, or from which an individual’s identity can reasonably be ascertained”.

We hold and use personal information about your dealings with us. Typically, this will include your name, contact details and information regarding transactions or correspondence with you.  We may also hold records of your date of birth, occupation and other information if we require it to manage our relationship with you.

Collection of information

Where reasonable and practicable to do so, we will collect personal information only from the individual concerned. In some circumstances, however, we may be provided with personal information by third parties.

When we collect personal information from you, we will explain (subject to certain exceptions) why the information is being collected, to whom it may be disclosed and how it will be used. If we collect information about you from a third party, we will seek to ensure that the third party has provided this explanation to you if it is impractical for us to do so in the short term. 

VRC will only use your personal information for:

  • the purposes for which it was collected
  • related purposes in circumstances where you ought reasonably to expect such use or disclosure, or
  • certain purposes required or authorised by the Privacy Act or other laws. 

Direct marketing

When collecting personal information for purposes that include marketing, we will provide you with the opportunity to decide whether you wish to receive certain marketing information in future.   You have opportunity to unsubscribe from VRC mailing/marketing lists at any time by notifying us in writing.

Sensitive information

Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual's racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

Sensitive information will be used by us only with your consent, for a purpose that is closely related to the primary purpose of collection and ought to be within your reasonable expectation, or where required or authorised by law.

Sensitive information will not be used for direct marketing purposes.

Disclosure of personal information

Personal information held by VRC will not be provided to any other organisation, nor used for any purposes, other than:

  • as described above, or
  • as agreed by you, or
  • as required or permitted by law.

Security of personal information

We will store your personal information in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure. 

When your information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify it. However, you should normally expect that we will keep your personal information for a minimum of seven years.

Access to personal information

You can access your personal information, or information about how we manage personal information generally, by contacting the VRC Privacy Officer.  A fee may apply to cover our costs. In order to protect personal information, we may require identification from you before releasing such information.

Third parties (such as family members, solicitors and other personal representatives) will only be provided access to your information on presentation of identification and a power of attorney or other document of authority completed and signed by you to our satisfaction.

There are some circumstances in which we are entitled to deny you access to your own information. These include circumstances where such information is commercially sensitive or disclosure would prejudice our interests, where the privacy of others may be breached if the information were accessed or where the law requires or authorises such access to be denied. The VRC Privacy Officer will advise if any of these circumstances apply.

Maintaining the quality of personal information

We will take reasonable steps to make sure that your personal information is accurate, complete and up to date. Where the information held by us is inaccurate or incomplete, you may request that we update it.
